Effective Date: October 2026
Last Updated: October 2026

Welcome to Big Apple Party Bus. By booking a reservation, submitting a deposit, or boarding any vehicle operated by Big Apple Party Bus (“Company,” “we,” “our,” or “us”), the client (“Client,” “you,” or “Charterer”) agrees to comply with and be legally bound by these Terms and Conditions.

1. Reservations and Deposits
– Deposit Requirement: A non-refundable security deposit is required at the time of booking to reserve any party bus, stretch limousine, or luxury vehicle.
– Balance Due: The remaining balance must be paid in full prior to the start of the scheduled trip, either via verified credit card prior to the event date or in cash directly to the chauffeur upon initial arrival.
– Reservation Confirmation: A booking is considered confirmed only upon receipt of the deposit and the issuance of a written confirmation email or text from Big Apple Party Bus dispatch.

2. Cancellation and Rescheduling Policy
– Non-Refundable Deposits: All booking deposits are strictly non-refundable under all circumstances, as reserved dates and vehicles are removed from public availability.
– Cancellations Within 7 Days: Cancellations made within seven (7) days of the scheduled pickup date will result in the forfeiture of the full rental balance.
– Rescheduling: Rescheduling requests are subject to vehicle availability and must be submitted in writing at least fourteen (14) days prior to the original reservation date.

3. Overtime, Additional Stops, and Route Adjustments
– Overtime Rates: Overtime charges begin immediately after the scheduled drop-off time expires. Overtime is billed in 30-minute increments at the standard hourly rate for the reserved vehicle.
– Availability of Overtime: Overtime is subject to vehicle availability and chauffeur scheduling. The Company cannot guarantee overtime if another booking is scheduled immediately following your charter.
– Tolls and Parking Fees: Bridge tolls, tunnel fees, out-of-area surcharges, and venue parking permits (such as stadium parking passes) not included in the original written quote are the responsibility of the Client.

4. Passenger Rules, Alcohol, and Conduct
– Alcohol Policy: Passengers aged twenty-one (21) and older are permitted to bring and consume alcoholic beverages aboard our vehicles in accordance with New York State laws. Underage drinking is strictly prohibited. If any minor is observed consuming alcohol, the charter will be terminated immediately with zero refund.
– Smoking and Vaping Prohibition: All vehicles in our fleet are strictly 100% non-smoking. This includes cigarettes, cigars, electronic cigarettes, and vapes. A mandatory $250 fee per occurrence will be assessed if smoking occurs.
– Chauffeur Authority: Our chauffeurs have full authority to terminate any charter without refund if passengers engage in violent, unsafe, illegal, or abusive conduct toward the driver or other road users.

5. Vehicle Damage, Cleanliness, and Incidentals
The Client assumes full financial responsibility for any physical damage or excessive mess caused by any member of their party:
– Sanitation / Sickness Fee: A minimum sanitation fee of $350 to $500 will be charged for any bodily fluids, sickness, or excessive food and beverage spills requiring professional detailing.
– Physical Damage: Any damage to seats, audio equipment, video screens, lighting, windows, emergency exits, or exterior surfaces will be billed to the Client at the full cost of professional repair plus lost operational vehicle revenue during downtime.

6. Delays, Traffic, and Mechanical Contingencies
– Traffic Contingencies: Big Apple Party Bus is not liable for delays caused by extreme traffic congestion, road closures, accidents, bridge or tunnel delays, severe weather conditions, or unforeseen acts of nature.
– Mechanical Breakdown: In the rare event of a mechanical breakdown prior to or during the rental, the Company reserves the right to substitute a comparable luxury vehicle. If a replacement vehicle cannot be supplied, a prorated refund will be issued for the uncompleted portion of the charter.

7. Lost or Stolen Items
Big Apple Party Bus and its chauffeurs are not responsible for any personal belongings, luggage, electronic devices, jewelry, or valuables left behind in any vehicle. While our dispatch team will make every reasonable effort to locate and return forgotten items, all passengers are solely responsible for securing their property before departing the vehicle.
